VENDOR AGREEMENT, TERMS AND CONDITIONS
Applications are subject to Vendor Selection. Vendors will be notified of acceptance as soon as possible after the submitted form is reviewed.
Please send no payments until confirmation is sent.

Applications must be received by July 20th, 2024. Payments required by July 27th, 2024

1. Please note that space is limited and is allocated on a first-come first-served basis. The Events Committee assesses all exhibitor applications to ensure quality and avoid over booking. Please submit complete information about the product(s) you intend to sell. The Events Committee reserves the right to designate vendor category and to decline the application of any vendors. On acceptance of application vendors will receive confirmation and other festival information
2. Exhibitors/vendors shall not assign, sublet, or share space without prior written permission of the Events Committee
3. Fees are for space rental only. Each 10’ x 10’ space is $150 for the 2 days. Vendors will be confined to the space allocated by the Events Committee.
4. Exhibitors are expected to provide their own tables and chairs. No tents, canopies or sunrooms will be allowed in the arena. Outside walls and electricity will be allocated when the application is received, on a first-come first-served basis
5. While the arena is closed overnight and secured with an alarm, The Port Colborne Optimist Club, the board of directors, events committee, or any person working with the committee will not be responsible or liable for loss, theft, damage of exhibitor / vendor belongings, nor any personal injury incurred. During the show hours, vendors are responsible for their products – any damage, breakage, loss, or theft is solely the responsibility of the vendor.
6. Exhibitors may set up their displays on Friday night between 5 and 9 pm. Additional setup time is available after 7AM on Saturday morning, if required. Vendors that are not set up by 9:30 a.m. may be deemed to have forfeited their right to sell at the event for that day, and lose their spot. Allocation of vendor / exhibitor spaces is at the discretion of the committee, and the committee reserves the right to relocate vendors / exhibitors as it considers necessary. Please note organizers will be setting up their booth early, so they will be available to assist with organization of vendor set-ups.
7. Exhibitors/vendors shall comply with all venue rules and regulations respecting conduct and management of the event, including all municipal/provincial fire requirements which apply to the exhibitor / vendor use of the facility. Exhibitor / vendor bears all responsibility to obtain all necessary licenses and collect all applicable taxes.
